  • contact us through the website, email or social media;

  • book or attend an activity, session, workshop or event;

  • purchase or access one of our resources or services;

  • join a mailing list or ask to receive updates;

  • complete a feedback form, survey or evaluation;

  • create an account or use an online area of our website.

This information may include your name, email address, telephone number, booking details, payment information, communication preferences and any information you choose to share with us.

Where a service involves children or families, we may also collect information needed to keep participants safe and provide appropriate support. We will only collect information that is relevant and necessary.

How and why we use your information

We may use personal information to:

  • respond to questions, messages and requests;

  • manage bookings, payments and attendance;

  • provide activities, resources, programmes and support;

  • create and manage website accounts or subscriptions;

  • communicate important information about a booking or service;

  • send news and updates where you have chosen to receive them;

  • collect feedback and understand the impact of our work;

  • keep children, families, staff and participants safe;

  • maintain accurate financial, safeguarding and organisational records;

  • meet our legal, regulatory and funding responsibilities;

  • improve our website, resources and services.

Our lawful reasons for using information

UK data protection law requires us to have a lawful reason for collecting and using personal information.

Depending on the situation, we may use your information because:

  • it is necessary to provide a service, booking or resource you have requested;

  • you have given us clear consent;

  • we need to meet a legal obligation;

  • it is necessary to protect someone’s vital interests;

  • it supports our legitimate interests in operating and improving Worley’s World CIC, provided your rights and interests are not overridden.

Where we rely on consent, you can withdraw it at any time by contacting us.

Children’s information

Some of our activities, resources and online areas are created for children and families.

Where we need personal information about a child, we will:

  • collect only the information genuinely needed to provide the activity, service or support;

  • explain how the information will be used in clear, accessible language;

  • involve a parent, carer or responsible adult where appropriate;

  • keep the child’s best interests at the heart of our decisions;

  • use suitable safeguards to protect the child’s privacy and wellbeing;

  • avoid asking children to share unnecessary personal information.

Children have their own data protection rights. Where appropriate, we will help children understand those rights in a way that suits their age and level of understanding.

Sensitive personal information

During bookings, activities or support, people may choose to share information about their health, disabilities, neurodivergence, emotional wellbeing or other personal circumstances.

This may be classed as special category information under data protection law.

We will only collect or use this information where it is necessary, where we have an appropriate lawful reason and additional legal condition, and where suitable safeguards are in place.

We will treat sensitive information with additional care and will not use it for unrelated purposes.

How we store and protect your information

We take reasonable steps to keep personal information safe, accurate and protected against loss, misuse, unauthorised access or disclosure.

Information may be stored securely using trusted digital systems, password-protected accounts, encrypted devices and limited-access files.

Access is restricted to people who genuinely need the information to carry out their role. We regularly review our systems and working practices to help keep information secure.

Although we take appropriate precautions, no online system can be guaranteed to be completely secure. If a personal data breach occurs, we will assess it promptly and report it where required by law.

Who we may share information with

We do not sell personal information.

We may share relevant information with trusted organisations or service providers where this is necessary to operate our services, meet legal responsibilities or keep someone safe. These may include:

  • website, booking, email and payment providers;

  • accountants, insurers and professional advisers;

  • delivery partners, venues or authorised team members;

  • funders where monitoring information is required;

  • safeguarding professionals, emergency services or public authorities where necessary;

  • regulators or legal authorities where we are required to do so.

We will only share the information needed for the specific purpose and will expect anyone handling information on our behalf to protect it appropriately.

Where possible, information shared with funders or used in reports will be anonymised so that individuals cannot be identified.

Information processed outside the UK

Some trusted digital service providers may store or process information outside the UK.

Where this happens, we will take reasonable steps to ensure that appropriate legal safeguards are in place and that personal information remains protected.

How long we keep your information

We will only keep personal information for as long as it is reasonably needed for the purpose it was collected, or for as long as we are legally required to keep it.

How long information is kept may depend on:

  • the type of information involved;

  • the activity, service, booking or programme it relates to;

  • safeguarding, insurance, funding or financial requirements;

  • whether it may be needed to respond to a complaint, enquiry or legal claim;

  • any legal or regulatory retention periods that apply.

When personal information is no longer needed, it will be securely deleted, destroyed or anonymised.

Your data protection rights

Depending on how and why we use your personal information, you may have the right to:

  • ask for a copy of the personal information we hold about you;

  • ask us to correct information that is inaccurate or incomplete;

  • ask us to delete your information in certain circumstances;

  • ask us to restrict how your information is used;

  • object to certain uses of your information;

  • ask to receive or transfer certain information in a portable format;

  • withdraw your consent at any time where we rely on consent.

These rights do not apply in every situation, and there may be lawful reasons why we cannot fully meet a request.

To make a request, please contact:

Email: admin@worleysworld.co.uk

We may need to confirm your identity before responding. We will respond within the timescales required by data protection law.

Terms & Conditions

These Terms and Conditions explain the rules for using the Beyond the Rainbow Door™ website, resources, activities and services.

Beyond the Rainbow Door™ is an initiative of Worley’s World CIC.

By using this website, creating an account, making a booking, purchasing a resource or accessing our services, you agree to these Terms and Conditions.

Please read them carefully before continuing.

Who we are

Organisation: Worley’s World CIC
Company number: 16067588
Registered office: 1 Sherburn Terrace, Consett, County Durham, DH8 6ND
Email: admin@worleysworld.co.uk

Using our website

You may use this website for lawful, personal and appropriate purposes.

You must not:

  • use the website in a way that could damage, disable or disrupt it;

  • attempt to access accounts, systems or content without permission;

  • upload or share harmful, unlawful or inappropriate material;

  • copy, reproduce or distribute protected content without permission;

  • use our resources, characters or intellectual property for commercial purposes unless we have agreed to this in writing.

We may restrict or remove access where we reasonably believe the website, resources or community spaces are being misused.

Accounts and adult supervision

Some parts of the website may require an account, subscription or booking.

You are responsible for:

  • providing accurate and up-to-date information;

  • keeping your login details secure;

  • letting us know if you believe your account has been accessed without permission;

  • ensuring that children use the website with suitable adult guidance or supervision.

Accounts and purchases must be created or completed by an adult unless we clearly state otherwise.

We may temporarily restrict or close an account where it is being misused, where payment remains outstanding, or where continued access could create a safety or security concern. Where reasonably possible, we will explain the reason and allow an opportunity to resolve the issue.

Bookings and activities

Places for activities, workshops, programmes and events may be limited.

A booking is confirmed once you receive confirmation from us or through our booking provider.

You are responsible for:

  • providing accurate booking and contact information;

  • telling us about relevant access, health or support needs;

  • ensuring that children are accompanied or collected as stated in the booking information;

  • following reasonable safety instructions provided by staff, venues or delivery partners;

  • contacting us as soon as possible if you can no longer attend.

Information about the activity, location, price, age range, supervision requirements and any specific cancellation arrangements will be provided at the time of booking.

Prices and payments

Prices will be displayed before you make a booking or purchase.

Payment may be collected through a trusted third-party payment provider. We do not normally receive or store your full payment-card details.

You agree to provide accurate payment information and to pay the amount shown at checkout.

Where a payment plan or recurring subscription is offered, the price, payment frequency and cancellation arrangements will be explained before you agree to it.

Nothing in these Terms affects your legal rights as a consumer.

Cancellations and refunds

Cancellation and refund arrangements may vary depending on the type of activity, resource or service purchased.

Any specific cancellation deadline or refund arrangement will be made clear during the booking or purchasing process.

Where you cancel:

  • please contact us as early as reasonably possible;

  • any refund will take account of the relevant booking terms and costs already reasonably incurred;

  • we will not impose a cancellation charge that is disproportionate to the loss caused by the cancellation;

  • your statutory consumer rights will continue to apply.

If we cancel an activity or service, we will normally offer a suitable alternative, credit or refund for the amount you paid for the cancelled provision.

We are not responsible for additional personal costs, such as travel or accommodation, unless the law requires otherwise.

Digital resources and immediate access

Some resources may be provided digitally, including downloadable files, online activities, videos, guides and subscription content.

Digital resources are for personal use unless a separate organisational or professional licence has been agreed in writing.

When you ask for paid digital content to be made available immediately, you may be asked to confirm that:

  • you want access to begin before the end of any applicable cancellation period; and

  • you understand that your right to cancel may be affected or lost once access or downloading begins.

This does not affect your rights where digital content is faulty, unavailable, unsafe or not as described.

Subscriptions and recurring access

Where we offer recurring access:

  • the price and payment frequency will be shown before purchase;

  • payments will continue at the agreed frequency until the subscription is cancelled or ends;

  • instructions for cancelling will be available through your account or by contacting us;

  • cancellation will stop future renewal payments but will not normally refund access already provided;

  • access may continue until the end of the current paid period unless stated otherwise.

We will give reasonable notice of significant changes to the price or core features of a recurring service. Where appropriate, you will be able to cancel before the change takes effect.

Important wellbeing notice

The information, stories, activities and tools provided through Beyond the Rainbow Door™ are designed to support emotional understanding, communication, connection and wellbeing.

They are educational and supportive resources only.

They are not intended to provide medical advice, diagnosis, treatment, therapy or crisis support, and they should not replace advice or care from a qualified healthcare professional.

Please speak to your GP or another appropriate healthcare professional if you are concerned about your own health or wellbeing, or that of a child or family member.

Do not delay seeking professional advice because of something you have read, watched or used through our website or resources.

In an emergency or immediate safeguarding situation, contact the appropriate emergency or safeguarding service.

Using our tools and activities safely

Our resources are designed to be flexible because every child, family and brain is different.

Adults remain responsible for deciding whether a particular activity or resource is suitable for their child, family or circumstances.

Please:

  • follow any age guidance or safety instructions provided;

  • supervise children appropriately;

  • check craft materials, food items and equipment for allergies or other risks;

  • stop an activity if it causes distress, discomfort or a safety concern;

  • seek professional advice where additional or specialist support may be needed.

We will take reasonable care when developing and delivering our resources, but no resource can guarantee a particular emotional, educational or wellbeing outcome.

Safeguarding

The safety and wellbeing of children, families, participants, staff and volunteers are important to us.

Information shared through the website, an activity or a service will be handled sensitively. However, confidentiality cannot be guaranteed where we reasonably believe that someone may be at risk of harm or where we have a legal safeguarding responsibility.

In those circumstances, relevant information may be shared with an appropriate safeguarding lead, professional, public authority or emergency service.

Community spaces and communication

Where the website provides comments, groups, shared spaces or other ways to communicate, users must behave respectfully and safely.

You must not:

  • bully, threaten, harass or discriminate against another person;

  • share another person’s private information without permission;

  • post harmful, abusive, sexual, exploitative or unlawful content;

  • encourage dangerous behaviour or present harmful advice as professional guidance;

  • use community spaces to advertise or promote unrelated services without permission;

  • impersonate another person or organisation.

We may moderate, hide or remove content and restrict access where reasonably necessary to protect users or maintain a safe community.

Intellectual property

The stories, characters, illustrations, wording, frameworks, activities, downloadable resources, logos, branding and other original content connected to Beyond the Rainbow Door™ and Worley’s World CIC are protected by intellectual-property law.

Unless we state otherwise, you may:

  • view and use the website for personal purposes;

  • download resources made available to you;

  • print a reasonable number of copies for your own household or personal use.

You must not, without written permission:

  • sell, licence or commercially distribute our resources;

  • copy or reproduce substantial parts of our content;

  • remove ownership, copyright or trademark notices;

  • upload paid or protected resources to another website or shared drive;

  • adapt our content and present it as your own;

  • use our characters, framework or branded materials to deliver paid services;

  • use our content to train, create or support competing products or services.

Organisations, practitioners and professionals may need a separate licence or written agreement.

Photographs, stories and submitted content

We will not use identifiable photographs, testimonials, stories or creative work for public promotion without an appropriate permission or lawful basis.

Where you submit content to us, you confirm that:

  • you have the right to share it;

  • it does not infringe another person’s rights;

  • you have obtained appropriate permission from anyone identifiable within it.

Any specific permission to use photographs, stories or testimonials will be explained separately. You may contact us if you wish to discuss or withdraw consent for future use.

Third-party websites and services

The website may include links to external websites, videos, payment providers, booking systems or social-media platforms.

These services are operated independently and may have their own terms, privacy policies and accessibility arrangements.

We are not responsible for external content or services that are outside our reasonable control, but we will take appropriate action if we become aware that a link is unsafe or seriously misleading.

Website availability and changes

We aim to keep the website and its resources available and accurate, but we cannot guarantee uninterrupted access.

We may need to:

  • carry out maintenance or security updates;

  • correct errors;

  • update, improve or replace content;

  • temporarily remove a feature that is unsafe or no longer supported;

  • make reasonable changes to reflect legal or operational requirements.

We will not make significant changes to a paid service without a valid reason. Where a change materially reduces what you have purchased, we will consider an appropriate remedy.

Our responsibility

We will provide our paid services with reasonable care and skill and will provide goods and digital content in accordance with your statutory rights.

We do not exclude or restrict responsibility where it would be unlawful to do so, including responsibility for:

  • death or personal injury caused by our negligence;

  • fraud or fraudulent misrepresentation;

  • faulty or misdescribed goods or digital content;

  • services that have not been provided with reasonable care and skill;

  • any other responsibility that cannot legally be excluded.

We are not responsible for loss or disruption caused by circumstances outside our reasonable control where we have taken reasonable steps to prevent or reduce the effect.

Nothing in these Terms removes or limits your statutory consumer rights.

Complaints and resolving problems

Please contact us if something has gone wrong or you are unhappy with a service, booking, purchase or resource.

We will aim to:

  • acknowledge the concern;

  • look at the relevant information fairly;

  • explain our response clearly;

  • offer an appropriate solution where we are responsible for the problem.

Email: admin@worleysworld.co.uk

Contacting us does not affect your right to seek independent consumer advice or use any legal remedy available to you.

Changes to these Terms

We may update these Terms where our website, services or legal responsibilities change.

The latest version will be published on this website with the updated date.

Changes will not unfairly remove rights that have already arisen under an existing purchase or booking.

Governing law

These Terms are governed by the laws of England and Wales.

If you live elsewhere in the UK, you will continue to benefit from any mandatory consumer protections that apply where you live.

Terms & Conditions

Accessibility Statement

Beyond the Rainbow Door™ is committed to making this website, its resources and its services as accessible and welcoming as reasonably possible.

We want children, families, professionals and community members to be able to explore our content in a way that works for their world.

Our approach

We aim to:

  • use clear, straightforward and family-friendly language;

  • organise information using helpful headings and manageable sections;

  • make text readable across different screen sizes;

  • provide meaningful descriptions for important images where possible;

  • avoid relying on colour alone to communicate important information;

  • use clear labels for links, buttons and interactive areas;

  • provide captions, transcripts or written alternatives for important video or audio content where reasonably possible;

  • consider different sensory, communication, processing and access needs;

  • regularly review and improve the accessibility of the website.

Interactive and visual content

Beyond the Rainbow Door™ uses illustrations, maps, stories, characters and interactive areas as part of its storytelling experience.

We recognise that highly visual or interactive content may not work equally well for everyone.

Where reasonably possible, we will provide:

  • clear written instructions;

  • alternative ways to find important information;

  • descriptive labels for clickable areas;

  • downloadable or printable alternatives;

  • support where a visitor experiences difficulty accessing a resource.

Known limitations

Some parts of the website may not yet meet every accessibility standard.

These may include:

  • older images without complete alternative text;

  • interactive maps or visual hotspot areas;

  • third-party booking, payment or embedded-content tools;

  • downloadable resources created before our current accessibility approach;

  • videos or audio content that do not yet include full captions or transcripts.

We are working to identify and improve these areas as the website develops.

Third-party services

Some features are provided through external services, such as Wix, payment providers, booking systems, video platforms or social-media tools.

We may not be able to control every accessibility feature within these external services, but we will choose and configure them with accessibility in mind wherever reasonably possible.

Getting information in another format

Please contact us if you need information or a resource in a different format, such as:

  • larger text;

  • a simplified written version;

  • a printable document;

  • an alternative digital format;

  • additional help understanding or accessing something.

We will consider each request and do our best to provide a reasonable alternative.

Reporting an accessibility problem

Please tell us if you experience an accessibility barrier or cannot access something you need.

It is helpful if you can tell us:

  • which page or resource you were trying to use;

  • what went wrong;

  • which device or browser you were using;

  • what format or adjustment would help.

Email: admin@worleysworld.co.uk

We will review the issue and respond as soon as reasonably possible.

Ongoing improvement

Accessibility is an ongoing part of how we develop Beyond the Rainbow Door™.

We will continue learning from families, professionals and people with lived experience, and we will update the website as our content, technology and understanding grow.
